Project Manager – Audio Visual / Multimedia

Role Overview

We are looking for an experienced Technology Project Manager – Audio Visual / Multimedia to manage the full project lifecycle for the design, implementation, deployment, testing and commissioning of premium Audio-Visual (AV) and multimedia-enabled spaces for a global corporate across the Asia Pacific region.

The role will manage projects ranging from standard conference rooms to complex multi-purpose spaces, studios, executive/client conferencing areas and other integrated technology environments. The successful candidate will have strong hands-on experience in AV technology, project delivery, vendor management, stakeholder engagement, budgeting and commissioning of complex AV solutions.

The position is based at the client location in Mumbai and requires the ability to collaborate effectively with global, regional and local stakeholders while delivering projects within defined timelines, budgets and quality standards.

Key Responsibilities

1. Needs Analysis, Budgeting & Approvals

Receive and manage AV project assignments across the Asia Pacific region.

Initiate projects in collaboration with Real Estate Project Management and relevant business teams.

Gather and document client, business and Line of Business requirements.

Review architect and interior designer test-fit drawings for room types, quantities, layouts and AV requirements.

Develop AV solution markups on floor plans to clearly communicate proposed solutions to management, stakeholders and clients.

Apply global and regional standard AV room solutions to floor and room plans.

Work closely with senior AV and Engineering teams for solution reviews and technical support.

Obtain quotations from qualified AV integration partners.

Develop high-level project cost estimates, resource requirements and Statements of Work based on client requirements and AV standards.

Manage project approvals and raise requisitions/orders through Ariba.

Maintain regular, documented weekly project status updates.

2. Design, Vendor Engagement & Procurement

Lead project kick-off meetings with AV vendor Project Managers and ensure alignment on scope, deliverables, timelines and requirements.

For custom or complex projects, develop comprehensive RFP packages, including drawings, Bill of Materials, project schedules and other relevant documentation.

Coordinate with Sourcing teams to initiate and manage the procurement process through Ariba.

Engage approved AV vendor partners and coordinate the bidding process.

Review bid leveling, commercial proposals and auction processes with Regional Heads and peer teams.

Evaluate best and final pricing in collaboration with relevant stakeholders.

Coordinate kick-off meetings with awarded vendors and formally launch new engagements.

Coordinate site access, permits and other requirements for vendor surveys and project execution.

3. Implementation, Testing & Commissioning

Manage the complete AV implementation lifecycle from vendor quotation through Purchase Order, deployment, testing and commissioning.

Ensure vendor commitments, Purchase Orders and MSA schedules are adhered to.

Develop detailed AV project schedules covering all key milestones and dependencies.

Share project plans with Operations Leads and coordinate resource/support planning.

Integrate AV schedules with broader construction schedules and overall project plans.

Prepare project presentations and status materials for management and client stakeholders.

Obtain detailed AV asset inventories from AV vendors/hardware distributors, including serial numbers and MAC addresses.

Collate and manage subnet and network information.

For Digital Signage deployments, create Digital Signage Narratives using the approved internal template and coordinate review/approval with Regional and Corporate Communications teams.

Coordinate Digital Signage deployment schedules and calendar invitations with Corporate Communications stakeholders.

Manage AV vendors and deployment activities throughout the project lifecycle.

Monitor project budgets, costs, risks and change control.

Conduct jobsite inspections to ensure deployment progress, workmanship and quality meet defined standards.

Attend and lead internal and external project meetings as required.

Maintain accurate and current project information in the Project Tracker across the entire portfolio.

Keep regional Operations Leads informed of project progress, risks, delays, technology changes and other challenges.

Provision Telepresence/Unified Communications endpoints using approved Microsoft Teams and Zoom portal capabilities.

Provision Digital Signage endpoints using the current approved software platform.

Provision IPTV endpoints using the current approved software platform.

Coordinate Operations walkthroughs, testing and handover activities with regional leads.

Coordinate End User Orientation/Training, typically delivered by Operations teams.

4. Project Closeout & Handover

Notify relevant peer groups upon successful project completion.

Update completed rooms to the appropriate Active status and submit required MACD documentation to Operations.

Collect and validate all final as-built drawings, DSP files, programming codes and AV asset information from vendors.

Ensure all final project documentation is stored correctly in the designated SharePoint project folder.

Manage approved/rejected project queues and progress projects toward formal closure.

Collect final vendor invoices and coordinate submission through Ariba for final payments.

Update the Project Tracker and move completed projects to the appropriate Completed status.

Ensure all project deliverables, technical documentation and handover requirements are fully completed before project closure.

Required Skills & Experience

7–10+ years of relevant experience in Technology Project Management, Audio Visual, Multimedia, AV Integration or related technology environments.

Strong experience managing the full lifecycle of AV projects, from requirements gathering and design through procurement, implementation, testing, commissioning and handover.

Hands-on understanding of premium/professional AV systems and integrated multimedia environments.

Experience designing, integrating, implementing or managing complex AV systems.

Strong understanding of AV control systems, programming and commissioning.

Experience managing conference rooms, multi-purpose spaces, studios, executive rooms, client conferencing environments and other integrated technology spaces.

Strong experience in vendor management, procurement, budgeting, project scheduling and change control.

Experience working with MNCs/global corporate environments is highly desirable.

Strong stakeholder management and communication skills, with the ability to work across regional and global teams.

Ability to manage multiple projects simultaneously and work effectively under tight deadlines and pressure.

Strong analytical, organizational and problem-solving skills.

Proficiency in project tracking, reporting and documentation.

Experience with procurement platforms such as Ariba is an advantage.

Working knowledge of Microsoft Teams, Zoom, Digital Signage and IPTV platforms is preferred.

Mandatory Certification / Professional Affiliation

CTS (Certified Technology Specialist) accreditation is mandatory.

AVIXA affiliation/membership is mandatory.
